• Create a task

  To create a new task:

  1. Click the (+) button on the bottom right corner of the page
  2. Fill in the task details
  3. Choose whether the task is for yourself or someone else using the slider
  4. If the task is for someone else, enter their email address
  5. Click the Create Task button
• Task status types

  Below are the following status types for tasks:

  • New - When a task is created for someone else, but hasn’t been accepted yet.
  • Active - The default status for tasks in progress.
  • Waiting - When a task outstanding dependent tasks.
  • Rejected - When a new task is rejected. If the task is for someone else, the creator will see the task in the Other People’s Tasks section until it is archived.
  • Cancelled - A task that has been cancelled. If the task is for someone else, the creator will see the task in the Other People’s Tasks section until it is archived.
  • Finished - A task that has been finished. If the task is for someone else, the creator will see the task in the Other People’s Tasks section until it is archived.
  • Archived - An archived task will only show in the archived list.
• Accepting or rejecting tasks

  When a user creates a task for themselves, it is instantly accepted and placed into their Active task list. When it is assigned to someone else it will go into their New Task list. They will have the option to either Accept or Reject the task.

  If they accept it will go into their Active task list. If they reject it will go into their Archive list. The creator of the task will continue to see it in their Other People’s Task list until they Archive it.

• Adding task logs

  A task log records a note and amount of effort, in minutes, related to a task. To add a task log, open the task and click the Add Task Log button. Add the comment and optionally add the number minutes of effort has been related to this task. Note that these minutes are added up to better calculate time remaining on the task and generating other reports.

• Creating related tasks

  When working on a task it is common to create other related tasks. A task can have three types of related tasks:

  Dependent Tasks - A dependent task is a task that needs to be completed before the parent task can continue. When a dependent task is created, the parent task is automatically changed to a waiting state. When all dependent tasks have been completed, the parent task will automatically become an active task again.

  Supporting Tasks - A supporting task is a task that can be done in parallel to the parent task. It does not change the state of the parent task, nor does it need to be completed for the parent task to be finished.

  Follow-up Tasks - A follow up task is to occur after the parent task has been finished or cancelled. A follow-up task will be in the Waiting Tasks list until the parent task is set to finished or cancelled.

• Finishing or cancelling tasks

  To finish or cancel a task, open the task and click the Status field. On the drop down menu, select the desired status action. This will immediately change the status of the task.

• Archiving tasks

  The creator of a task that is assigned to someone else, will have them remain in their Task for Others tasklist, regardless of the task status. When one of these tasks change status to Finished, Cancelled or Rejected, then the task can then be archived. To archive a task, open the task and click the archive button.

• Using favour points

  Favour points are the informal currency of getting things done. Users will get favour points for various reasons and will be able to use them to encourage completion of tasks. Users can see the number of favour points in their account represented by a number next to a thumb up symbol on the top right corner of the screen.

  To use favour points, when a task is created for someone else, users will be able to add up to five favour points, if they have them in their account. Immediately on creating the task the favour points will be deducted from the creators account.

  The assignee of the task will receive the favour points when they Finish the task.

  Note that if a task is rejected or cancelled, the favour points are lost.

• Viewing archived and finished tasks

  When a task assignee finishes, rejects or cancels a task, for them it will immediately be archived. For a task owner, once a task has been finished, cancelled or rejected they will then have the ability to archive it.

  To view archived files, click the three bar icon in the top left corner to open the left side menu. Click on Archived Tasks to see the user’s archived tasks. Note that it may take a second to refresh.
